Domain, SSL and Backup Renewals Small Businesses Forget (and How to Stay Ahead)

Some of the most disruptive website problems are not caused by hackers or technical failures. They are caused by a date that nobody noticed.

A domain expires, and the website and email go offline together. An SSL certificate lapses, and visitors see a full-page security warning. A server fails, and the business discovers that its backups stopped running months ago.

All three are preventable. In this article, we explain what happens when domains, SSL certificates and backups are neglected, and how to build a simple renewal calendar so it does not happen to your business.

Since 2008, VeravalOnline has been managing websites, domains and hosting for businesses, with domains, hosting and SSL provided through our group company Vogue Hosting.

Why Renewals Get Missed

Renewals are easy to forget because they happen once a year, or once every few years. In the meantime:

  • The person who registered the domain leaves the company
  • Renewal reminders go to an old email address that nobody checks
  • The card saved for auto-renewal expires
  • Different services renew with different providers on different dates
  • Everyone assumes the website developer or IT vendor is taking care of it

What Happens When a Domain Expires

Your domain name is the address for both your website and your business email. When it expires:

  • The website stops loading
  • Email on your domain stops arriving, and senders may get bounce messages
  • Online ads, printed brochures and visiting cards point to an address that no longer works

Most registrars allow a short grace period after expiry in which you can renew normally. After that, many domains enter a redemption period where recovery is possible only at an additional cost. If the domain is still not recovered, it can be released and registered by anyone, including a competitor or someone hoping to sell it back to you.

How to protect your domain

  • Register it in your company’s name, with a company email address that is monitored
  • Enable auto-renewal, and keep the payment method up to date
  • Consider renewing for multiple years at a time
  • Keep the registrar login safe and accessible to at least two authorised people
  • Check your domain’s details with a WHOIS lookup if you are not sure who controls it

If you need to register a new domain or transfer an existing one to a provider you can reach easily, you can search and register domains with Vogue Hosting, our group company.

What Happens When an SSL Certificate Expires

An SSL certificate is what makes your website load over HTTPS, with the padlock in the address bar. When it expires, browsers show a prominent warning that the connection is not secure, and most visitors will leave immediately. Online forms and payment pages are affected too.

SSL certificates are also valid for shorter periods than they used to be, and industry rules are gradually reducing the maximum validity further. Manual renewal once in a while is no longer practical; automatic renewal is the safer approach.

How to stay ahead

  • Use hosting that includes free SSL with automatic renewal, such as Vogue Hosting’s WordPress hosting plans
  • If you use a paid certificate, note its expiry date in your renewal calendar
  • After any hosting or DNS change, check that HTTPS still works across the website
  • Include SSL checks in your monthly website maintenance

Backups: The Renewal Nobody Tests

Backups are different from domains and SSL: they do not expire with a warning. They silently stop working. A hosting plan changes, storage fills up, a plugin is removed or a scheduled job fails, and nobody notices until the day a backup is actually needed.

What a reliable backup setup looks like

  • Automatic backups of files and databases on a regular schedule
  • Stored away from the website server, so a server problem does not take the backups with it
  • Kept for long enough, so you can go back to a point before a problem started
  • Restore tested periodically, ideally on a staging copy of the website
  • Covering email and business documents too, not only the website

We wrote earlier about why important files and credentials should not live in chat apps, in WhatsApp is Not Storage.

Build a Simple Renewal Calendar

You do not need special software. A shared calendar or a simple spreadsheet works, as long as someone owns it.

For each item, record:

  1. What it is โ€“ domain, SSL, hosting, email licences, software subscriptions, backup storage
  2. Provider and account โ€“ where it is registered and under which login
  3. Registered owner โ€“ confirm it is your company
  4. Renewal or expiry date
  5. Auto-renewal status and the payment method used
  6. Reminder dates โ€“ for example, 30 days and 7 days before expiry
  7. Responsible person โ€“ and a backup person

Review the list once a quarter, and whenever a team member or vendor changes.

Let Someone Own It

The simplest way to avoid missed renewals is to make one team responsible for the domain, hosting, SSL, email and backups together. With our webmaster services, our team tracks renewals, checks SSL and backups and handles technical fixes as part of monthly website care. For WordPress websites, our WordPress development and support team can also set up proper backups and staging. If you are planning a new website, our web and app development projects include domain, hosting and SSL setup from day one.
