A customer receives two quotations. One comes from [email protected]. The other comes from [email protected]. Both businesses may be equally good, but only one looks like an established company at first glance.

Email is still the main channel for quotations, purchase orders, invoices, bank communication and tender submissions for most Indian businesses. Yet many small companies continue to run their entire business on free Gmail, Yahoo or Rediffmail addresses created years ago.

In this article, we explain why business email on your own domain matters, what changes when you move to a platform such as Microsoft 365, and how to make the switch without losing old emails.

Since 2008, VeravalOnline has been helping businesses set up domains, websites, hosting and business email that work together.

What Is Business Email?

Business email simply means email addresses that use your company’s domain name, such as [email protected] or [email protected], instead of a free provider’s domain.

It usually comes with a proper mail platform behind it: spam filtering, admin controls, shared mailboxes, calendars and security features that a personal free account is not designed to provide.

Why Free Gmail and Yahoo IDs Hold Small Businesses Back

Trust and first impressions

A free address tells buyers very little about your business. An address on your own domain connects every email to your website and your brand. For exporters, manufacturers and B2B suppliers dealing with new buyers, this small detail often decides whether an email is taken seriously or ignored.

The company does not own the mailbox

When an employee handles customers from a personal Gmail ID, the conversations, attachments and contacts belong to that personal account. If the person leaves, the history leaves with them. With business email, the mailbox belongs to the company. An administrator can reset the password, hand the mailbox to a colleague or keep it for records.

Weak control over security

With personal accounts, you cannot enforce strong passwords or two-step verification, and you cannot see who has access. Shared passwords passed around on chat groups are common, and risky. We have written earlier about why WhatsApp is not storage, and the same thinking applies to business credentials.

Deliverability problems

Large email providers now expect business senders to authenticate their emails with records such as SPF, DKIM and DMARC. These can be set up properly only when you control the domain. Emails from a correctly configured business domain are far less likely to land in spam.

What Microsoft 365 Business Email Gives You

Microsoft 365 is one of the most widely used business email and productivity platforms. For a small business, the practical benefits are:

  • Professional email on your own domain with Outlook on desktop, web and mobile
  • Shared calendars so teams can see availability and book meetings without back-and-forth messages
  • Shared mailboxes for addresses such as sales@ or support@ that several people can manage together
  • Microsoft Teams for internal chat, video meetings and calls
  • OneDrive storage for each user, so files are not stuck on one laptop
  • Word, Excel and PowerPoint, depending on the plan
  • Spam and malware protection, plus two-step verification and admin controls; higher plans add advanced security and device management

Microsoft 365 plans are available through our group company Vogue Hosting. You can compare the Microsoft 365 business plans there, and if your team already prefers Google’s tools, Google Workspace is another good option on your own domain.

If you only need mailboxes and not the full office suite, a simpler email hosting plan on your domain can also work well.

Business Email Is Only as Good as Its Setup

Buying mailboxes is the easy part. Most problems we see come from how the setup was done:

  • DNS records (MX, SPF, DKIM, DMARC) missing or incorrect, so emails bounce or go to spam
  • The domain registered in an ex-employee’s or old vendor’s name
  • Website contact forms sending emails from a free address, which then fail delivery checks
  • No one with admin access when a password needs to be reset
  • Old emails left behind on a previous server after a migration

This is why we treat domain, DNS, email and website as one connected system. As part of our webmaster services, our team can look after email and DNS support alongside your website, instead of leaving you to coordinate between separate providers. It is one part of our wider range of services for growing businesses, from development to digital marketing.

How to Move from Free Email to Business Email

  1. Secure your domain. If you do not have one yet, choose a short, easy-to-spell name. If you already have one, confirm it is registered in your company’s name and note the renewal date.
  2. Decide the addresses. Personal mailboxes for each team member, and shared addresses such as sales@, accounts@ and info@.
  3. Choose the platform. Microsoft 365, Google Workspace or basic email hosting, based on how your team works.
  4. Set up DNS correctly. MX, SPF, DKIM and DMARC records, tested before switching over.
  5. Migrate old emails and contacts. Important history from Gmail, Yahoo or an old server can usually be moved into the new mailboxes.
  6. Update everywhere. Website, letterheads, invoices, GST and bank records, marketplace profiles and email signatures.
  7. Keep the old address for a while. Set an auto-reply or forwarding so that no customer email is missed during the transition.

If you are also planning a new website, it makes sense to set up the domain, hosting and email together. Our web and app development projects include domain and hosting setup at launch.

Business Email Checklist for SME Owners

  • Every team member uses an address on the company domain
  • Shared addresses (sales@, accounts@) are shared mailboxes, not shared passwords
  • The domain is registered in the company’s name, with a known renewal date
  • SPF, DKIM and DMARC records are in place
  • Two-step verification is enabled for all users
  • At least two authorised people have admin access
  • Mailboxes of employees who leave are retained and reassigned, not deleted
  • Old free email IDs are forwarded or set to auto-reply
  • Website contact forms send through your domain, and have been tested this month

If your business depends on email, and most do, the email setup deserves the same attention as your website. For the website side of this, see our guide to website maintenance for small businesses.
